A company in the industrial materials distribution space recently upgraded its accounting-based business-management software to improve its overall operations.

A few years ago, the business began the transition to a new system under the guidance of a specialized software-provider.

These days, we use the system every day. What's particularly useful is the ability to instantly convert our frequently-used documents into PDF, then email them right away. If we hadn't made this upgrade, most of our correspondence would still be via regular mail. The new system lets us perform day-to-day functions more quickly and efficiently.

The organization had been a long-time user of the provider's older product for inventory control, dating back decades.

With all the different materials, accessories and parts we distribute, there are several thousand inventory SKUs involved in the sales process, and we've always been impressed with how well the software tracks our inventory. We asked the provider to carry out custom work so that we could use SKU descriptions in greater detail. The programming team has been excellent to work with when helping with the design and wording of our quotations, purchase orders and invoices. They even added custom descriptors to facilitate handling our materials in a more efficient manner.

Such tailoring to specific client needs is a high priority for the software-provider:

Every company has its own uniqueness so we designed our software to be very flexible. But the custom programming we can add before the system goes live makes it fit the client like a glove right from the get-go. And we keep the costs for customizing nominal because it can be good for us too. Quite often we are able to incorporate something we've developed for one client into the next version so that everyone can benefit.

During its evolutionary process, the software-provider has built its bookkeeping software foundations over several decades into a full business-management tool. But though it's more powerful, transitioning usually goes smoothly.

We had absolutely no issues when the system upgraded our software and the conversion was completed promptly. Our company became faster at getting materials in and out the door and the financial reporting was more accurate. To me, that reflects the deep understanding the provider's team has in terms of accounting standards, and what a modern system can do for a business beyond just keeping the books.

The upgrade has enabled the distributor's leadership to focus on planning the company's future without the usual paper-trail tracking that slows operations at many firms. The management team now has more time to focus on other important areas of their operations.
